Director of Purchasing
CLASS SUMMARY: Under general direction, incumbent(s) provides specialized administrative or desktop publishing support in which incumbents are relied upon to make final checks on various types of data and reports, make changes as necessary, obtain supporting documentation, research errors and complete processes. Perform one or more of the following functions: reviewing paperwork and documentation; entering journal vouchers and corrections; preparing brochures and information for publication; and, answering questions or providing assistance in specialty area.
Reviews reports, paperwork and other information for completeness and accuracy including information for publication, purchase orders, bid proposals, quotes, budgeting codes, invoices, maintenance work orders, position control reports, payroll deductions, paychecks, benefit applications and claims, retirement payments and statistical information for federal reports.
Answers questions and provides information regarding vendors, coding, price increases, fund availability, fund transfers, invoices, cash deposits, federal reimbursements, benefit plans, retirement plans and publications.
Makes corrections and adjustments necessary for accurate records and information including adding or correcting vendor, delivery and accounting information on purchase orders; entering budget adjustments; performing journal entries for incorrect coding and amounts; showing cash deposits; correcting benefit claims; reconciling revenues with deposits; and, reconciling expenditures with processed checks.
Prepares paperwork and documentation for reporting to federal, state and county agencies and programs including teacher experience reporting, budget/finance reports, financial graphs and spreadsheets, tax documentation, USDA Commodity inventory, federal reimbursements, workman’s compensation reports and retirement reports.
Performs data entry into automated programs including information such as purchase requisitions, student enrollments and withdrawals, student demographics. Generates reports and other documentation for reporting purposes and reviews for accuracy.
Performs other duties as required.
To be eligible for this position, an applicant must meet the following required qualifications. In addition, verification of these required qualifications is necessary.
· High School diploma or equivalent (G.E.D.) prior to being hired;
· Two years of office-related experience.
It is preferred that applicant possesses the following preferred qualifications; however, the following qualifications are not required to be eligible for this position.
· Two years of work experience in a public school system.
